The first quote sets the bar
A client asking three businesses for a quote usually isn't running a formal tender process. They're comparing whatever lands in their inbox first. The first proper quote back tends to become the one every later quote gets silently measured against, and a slower quote that arrives after the client has already mentally committed has to actively win them back, not just compete on price.
It's rarely the estimate that's slow
Working out the labour and the scope of a job is usually the fast part. Most businesses can size up a job they've done before in minutes. What stalls a quote is the material pricing: digging through old invoices, emailing a supplier to check a current price, or just not being confident enough in a remembered number to send it without checking first. The job gets quoted a day later than it needed to, not because the work was hard to price, but because the parts were.
Three ways to get a quote out the same day
- Keep one running list of what you paid. Not a memory, not a supplier's list price: the number on your last invoice for that exact part. One searchable list beats flicking back through months of paperwork.
- Template the jobs you quote often. If the same combination of parts comes up on every socket install or every re-pipe, price that combination once and reuse it, rather than rebuilding the same list from scratch every time.
- Send it caveated, not perfect. A quote sent the same day with "subject to confirmation on any parts marked *" usually beats a flawless quote sent three days later. Precision that arrives too late doesn't win the job.
Where a searchable pricebook closes the gap
All three of those are habits worth having regardless of what software you run. What they need is somewhere to keep that running list. CostBase turns every supplier invoice you upload into one searchable pricebook, and lets you save a combination of parts as a kit once, then drop it into a quote in a click, so the part that used to take the longest becomes the part that takes no time at all.
