PDF vs CSV: why most pricing software still makes you do the data entry

"Just export a CSV" assumes your supplier sends one. Most, with or without CostBase, don't.

CSV import solves a problem most suppliers don't have

A lot of pricing and stock software was built for businesses buying from big, e-commerce-style suppliers, the kind that can hand over a clean spreadsheet feed on request. A lot of trade suppliers aren't that: a regional builders' merchant, a local wholesaler, a specialist importer, sending exactly one thing after every order: a PDF invoice, laid out however their own accounting software happens to print it. "Just export it as CSV" isn't a workaround for these suppliers. There's no CSV to export.

What differs from one supplier's PDF to the next

  • Column order and naming. "Part No.", "Code", "SKU", "Item": four suppliers, four different headers for the same thing, each in a different position on the page.
  • Units hiding in the price itself. The same-looking number can be a price each, per pack, per metre, or per 1,000. The supplier assumes you already know which, because their own staff do.
  • Everything else on the page. Delivery notes, VAT summaries, page footers, terms and conditions all sit in the same PDF as the priced line items themselves, with no consistent marker separating "data" from "everything else."

What manual re-entry costs

Typing out a single invoice by hand, line by line into a spreadsheet, is rarely the bottleneck on its own. The hidden cost is that it has to happen on every invoice, from every supplier, every single week, for as long as the business runs. It's exactly the kind of repetitive task that gets skipped when things get busy, which is precisely when prices are also most likely to have moved.

What reading the PDF directly looks like instead

Rather than expecting one fixed template, CostBase reads the layout of each invoice (where the columns are, what each one means, which unit a price is in) the same way a person would look at an unfamiliar invoice for the first time. No CSV to request, no template to set up per supplier, no manual re-typing standing between the invoice landing in your inbox and the price being usable on your next quote.
